Administrative and Project Assistant  

Position Summary

The Administrative Assistant is responsible for assisting with administrative matters including support of project-related materials and communications.

Essential Duties and Responsibilities

The essential functions include, but are not limited to the following:

  • Assist with organizing files, drawings, specifications, contracts, etc.
  • Assist with processing and formatting full length specifications in CSI format.
  • Prepare AIA subconsultant agreements and amendments.
  • Assist with project proposals.
  • Prepare basic level of documents, spreadsheets, letters, transmittals etc. in accordance with company and/or client standards.
  • Maintain Certificate of Insurance files and database.
  • Assist in coordinating office supplies, project files etc.
  • Assist with Division of the State Architect submissions.
  • Schedule meetings, conference calls, and appointments when applicable.
  • Answer phones, accept deliveries, prepare outgoing shipments.
  • Adhere to all company policies and procedures.
  • Perform other duties as assigned.

Minimum Qualifications (Knowledge, Skills, and Abilities)

  • A business-related Associate’s degree from an accredited four-year college or university is preferred.
  • 2+ years of progressive experience in a similar role, preferably within the Architecture and Engineering industry.
  • Ability to uphold the highest standards of confidentiality and discretion.
  • Ability to work independently and as a valuable member of a team.
  • Excellent communication and writing skills.
  • High level of proficiency in Microsoft tools such as Outlook, Excel and Word, particularly for complex formatting of reports and manuals in Word.
  • Experience with MS Project, Masterspec/Masterworks, Adobe Acrobat, Bluebeam and Ajera a plus
